Under the supervision of Director(s)/Manager(s) and independently, you will perform secretarial, clerical administrative and related duties to support the Pharmacovigilance and Regulatory Affairs cluster organisation covering UK, Israel, Nordic and Baltic countries.

Primary activities will include:

  • Responsibility for administrative/clerical duties requiring analytical abilities, independent judgement and problem-solving skills.
  • Review priorities with management as necessary.
  • Responsible for expense reports and/or routine financial disbursements via SAP, tracking of costs towards budget and certain Human Resource tracking.
  • Utilize SAP for ordering, expenses and purchase orders.
  • Requires basic knowledge and understanding of SOPs for the organisation and Division, as well as, specialised terminology commensurate with the position.
  • Arrange/coordinate internal meetings
  • Interact with internal and external customers.
  • Transcribe, record, assemble, track, verify and maintain accuracy of data/ electronic records and spreadsheets.
  • Coordinate regular travel arrangements, basic domestic and international.
  • Write or answer routine correspondence as directed.
  • Maintain daily calendars, (meeting scheduling), teleconferencing, conference room scheduling and video conferencing, accepting on behalf of management.
  • Maintain databases, general and department or Division specific applications.
  • Regularly perform independent basic research via basic internet and intranet searches used to prepare analysis, presentations and reports.
  • Multitask daily.
  • Support the HR hiring process by scheduling interviews and onboarding employees and contract staff.
  • Assist with special projects and other duties as assigned by the department as needed.
  • Qualification and Skills:

  • High School Diploma, A-Levels or equivalent
  • Able to work independently
  • Proficient with Microsoft Office applications (Word, Excel, Outlook, PowerPoint,
  • Visio, Access)
  • Minimum three (3) Administrative Assistant experience
  • Preferred Experience and Skills:

  • Previous experience with laboratory support
